— What’s in the box

Specific things, specifically done right.

Eight things we built because we kept seeing them get wrong. The local detail is in the defaults; the engine works anywhere.

Cyprus VAT, native.

19% / 9% / 5% / 0% applied per line. We trust the rate printed on the receipt. When it’s missing, we infer and yellow-flag.

Inclusive vs. exclusive, in 11 languages.

Malaysian “incl 6% GST.” Greek “συμπεριλαμβανομένου ΦΠΑ.” Nine more. No more 6% mistakes from treating an inclusive Total as a Net.

Cash rounding, to the cent.

Total shows the paid amount. The Adjustment column captures any rounding gap. Because we cannot have a single 0.01 mistake.

Per-supplier workbooks.

One Excel per supplier. The way you actually post. Not one giant CSV you have to slice yourself.

Receipts embedded as proof.

Each row links to the original page image, embedded in the workbook itself. Audit trail lives with the data.

Honest about uncertainty.

When the rate isn’t printed, we yellow-flag the row for your review. We never silently guess.

Hard pages auto-rerun.

Low-confidence pages route automatically to a more capable model. The expensive run only happens on the pages that need it.

Eleven languages. Every regime.

Greek, English, Malay, Chinese, French, German, Italian, Spanish, Turkish, Russian, Arabic. UK / EU VAT, GST, zero-rated — all supported.

No lock-in.

Excel out. Use whatever accounting software you want — Xero, QuickBooks, Sage, or a paper ledger. We don’t care.

Honest answers

Honest answers to obvious questions.

We read it. Confidence is lower, so we yellow-flag the row. You eyeball it before posting. Better than typing it from scratch.

We infer it based on the supplier, the line items, and the regime. Then we yellow-flag the row so you can confirm before posting.

We never silently guess. The Adjustment column always reconciles.

Yes. UK VAT, EU VAT, GST, and zero-rated regimes are all supported. The Cyprus defaults are tuned for Cyprus practitioners; the engine handles any regime the receipt declares.

Not currently. Output is Excel because that’s what most of our customers actually post from. If enough customers ask for direct sync, we’ll build it — tell us at contact@pileform.com.

Servers in Frankfurt (EU). We delete uploads after 30 days by default — configurable to 7 days on the Practice plan. GDPR-compliant. Sub-processors listed in our DPA, available on request.
